Roost Inspect ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the Roost Inspect mobile application and related services (collectively, the "Service").

By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree with the terms of this Privacy Policy, please do not use the Service.

We collect information that you voluntarily provide when using the Service:

2. Information Collected Automatically

When you use the Service, certain information is collected automatically:

  • Device Information: Device model, operating system version, unique device identifiers, and app version.
  • Usage Data: Features accessed, screens viewed, actions taken, timestamps, and general interaction patterns.
  • Authentication Tokens: Secure tokens generated by Firebase Authentication to maintain your session.
Important: Device sensors (such as the camera and accelerometer) are used in real-time during inspections to guide photo capture. Sensor data itself is NOT stored or transmitted to our servers — only the resulting photos and videos are saved.

3. Biometric Information

Roost Inspect supports biometric authentication (such as fingerprint or Face ID) as an optional security feature for accessing the app.

On-Device Only: All biometric data is processed and stored entirely on your device using your operating system's built-in biometric framework (iOS Touch ID / Face ID or Android BiometricPrompt). Roost Inspect never receives, transmits, or stores your biometric data. We only receive a pass/fail confirmation from your device.

4. How We Use Your Information

We use the information we collect for the following purposes:

  • Providing, operating, and maintaining the Service
  • Creating and managing your user account
  • Facilitating property inspections and generating PDF inspection reports
  • Parsing lease documents to extract relevant terms and conditions
  • Enabling multi-party collaboration between tenants, landlords, and property managers
  • Communicating with you about your account, inspections, or support requests
  • Improving the Service, including analyzing usage patterns and fixing bugs
  • Ensuring security and preventing fraud or abuse
  • Complying with legal obligations

5. Third-Party Services

We use the following third-party services to operate the platform:

6. Advertising and Data Sales

No Ads. No Data Sales. Roost Inspect does not display advertisements and does not sell, rent, or trade your personal information to third parties for marketing or any other purpose.

7. Sharing Your Information

We may share your information only in the following limited circumstances:

  • With Property Parties: Inspection data (including photos, reports, and annotations) may be shared with other parties involved in the same property inspection, such as tenants, landlords, or property managers, as part of the multi-party collaboration feature.
  • Legal Requirements: We may disclose your information if required to do so by law, court order, or governmental authority, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
  • Service Providers: With third-party services as described in Section 5, strictly for the purposes of operating the Service.

8. Your Rights

You have the following rights regarding your personal information:

9. Data Retention

We retain your personal data for as long as your account is active or as needed to provide the Service. When you request account deletion:

  • Your personal data will be permanently deleted within 90 days of the deletion request.
  • A 7-day grace period is provided after the deletion request, during which you may cancel the request and recover your account.
  • Approved inspection records that have been jointly approved by multiple parties may be retained, as they form part of a shared record.
  • Certain data may be retained if required by law or for legitimate legal purposes (such as resolving disputes).

10. Security

We take the security of your data seriously. Measures include:

  • Encryption in Transit: All data transmitted between your device and our servers is encrypted using TLS (Transport Layer Security).
  • Encryption at Rest: Data stored in Firebase is encrypted at rest using Google Cloud's built-in encryption.
  • Access Controls: Strict access controls ensure that only authorised personnel and systems can access your data.
  • Secure Authentication: Firebase Authentication with optional biometric login provides robust account security.

While we strive to use commercially acceptable means to protect your data, no method of electronic storage or transmission is 100% secure.

11. Children's Privacy

Roost Inspect is intended for users aged 18 years and older. We do not knowingly collect personal information from anyone under the age of 18. If we learn that we have collected data from a person under 18, we will delete that information promptly.

12. International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. Specifically:

  • Australia: Our primary operations are based in Sydney, NSW, Australia.
  • United States: Firebase and OpenAI infrastructure may process data in the United States.

By using the Service, you consent to the transfer of your information to these countries. We ensure that appropriate safeguards are in place to protect your data in accordance with this Privacy Policy.

13. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by:

  • Updating the "Effective Date" at the top of this page
  • Sending a notification through the app where appropriate
